Before you start

Step-by-step procedure

Step 1 — Enable Windows Backup and folder synchronization

Open Settings > Accounts > Windows backup and enable the available preference backup options. Then open OneDrive, go to sync settings, and choose Manage backup. Enable Desktop, Documents, and Pictures and let the first upload finish without shutting down the PC. Check the OneDrive notification-area icon and make sure it shows no errors or stuck synchronization.

Finish this step before moving on and record the initial setting. A known baseline makes it easy to reverse the change if the result is not what you expected.

Step 2 — Choose which files must also remain offline

Open OneDrive in File Explorer and inspect the status icons next to files. For documents you need without an Internet connection, right-click and select Always keep on this device. Do not apply the option to the entire cloud if internal storage is limited; reserve it for essential folders and check free space under Settings > System > Storage.

Check the result immediately on the relevant device or screen. If your version uses slightly different menu wording, locate the equivalent feature without changing unrelated options.

Step 3 — Create a clear structure on the external SSD

Create a main dated folder on the SSD, such as PC-Backup-2026-09-11, with subfolders for Documents, Photos, Projects, and Configuration. A dated structure prevents blind overwriting of older versions. Use Copy and Paste rather than Cut so the original remains on the PC throughout the procedure.

Before continuing, make sure background activity has actually finished. A disappearing progress bar or accepted button press does not by itself prove that files, settings, or synchronization are complete.

Step 4 — Copy data that OneDrive does not protect

Look for work files outside synchronized folders: video projects, local archives, databases, exported mail, presets, and folders created manually on the disk. Copy them to the SSD and compare approximate size and file counts. For very large folders, copy in groups and open sample files after each batch.

Change one variable at a time and compare what you see with the previous step. This prevents multiple errors from accumulating and makes the cause much easier to identify.

Step 5 — Save configuration and recovery information

Export browser bookmarks if they are not synchronized, list essential applications, and save BitLocker recovery keys in a separate location. For professional software, check where presets, catalogs, and libraries are stored. Never save passwords in a plain text file; use a password manager or official account recovery methods.

Now run a small real-world test. Do not rely on the interface alone: open the file, try the feature, or reconnect the device involved to confirm the expected behavior.

Step 6 — Disconnect the backup when finished

When copying is complete, use Eject from File Explorer or the USB icon and store the SSD separately from the PC. A drive that stays connected can be deleted together with the primary files or encrypted by ransomware. Schedule periodic copies and retain at least one older version of documents that change frequently.

Allow the operation to finish and avoid forced restarts or disconnections. If the system explicitly requests a restart, complete it before the final verification.

Step 7 — Run a real restore test

Create a Restore-test folder on the Desktop. Download one document from OneDrive and copy a second file from the external SSD. Open both, edit them, and save them under new names. Compare their contents with the originals. This is the only way to prove that the copies are not merely present but actually usable when needed.

Finish with a full end-to-end test and keep any recovery information you may need. A setup is truly complete only when you know how to use it and how to reverse or recover it if something goes wrong.

Final check

Open several files from both copies, check the latest synchronization date, and schedule the next backup. A completed procedure should let you recover at least one cloud file and one external-drive file without relying on the original PC.

Repeat the check after closing and reopening the feature, or after a restart when relevant. A result that survives a new session is far more reliable than a setup that appears to work only immediately after the change.
